Monday 09:00 – 17:30 Attire:Smart casual. To wear name badge at all times. Main Duties:• Answer ‘phones and direct calls to relevant people. • Each morning to provide reception with a list for the entire Clinic giving details of time of appointment , name, who they are to see and whether they are a new patient. • Booking all operations with the Welbeck hospital. • Ensuring all pre-op notes are faxed to the Welbeck at least 3 days prior to op. • Confirming with the Welbeck via e-mail, the names, procedures and start times of patients one week prior to op. Any late operations to be communicated by ‘phone and backed up with e-mail. • Booking the anaesthetist for the Welbeck, and keeping him/her informed of lists at least one week in advance. Any rescheduling to be communicated to the anaesthetist immediately. • To send out information packs when a patient has booked for surgery. These to include: Terms and Conditions, confirmation of surgery form x 2 (one to be returned to 111), stamp addressed envelope, patient guide, Procedure information sheet, covering letter stating price of procedure, balance due and balance due date and receipt for money paid. • Enquiries to be followed up and £50 refundable booking fee to be taken where possible. Refunds of these fees to be actioned after discussion with co-ordinator. • To be receptionist on late night Clinics and Saturdays when scheduled to work. • To control stock of implants and compression garments, by regular stock taking. • Ordering implants and compression garments to ensure availability of all sizes without over stocking. • Assisting Clinic Manager and Patient Co-ordinators with ad-hoc admin. duties as and when they occur e.g. taking payments, issuing receipts, writing confirmation or re-scheduling letters. • Being discrete at all times and ensuring patient confidentiality. • Filing patient’s files in the system, ensuring no files are left out at night.
